This agreement constitutes a contract between the Guest(s) and North Georgia Mountain Cabin Rentals, LLC as (NGMCR). NGMCR serves as the agent and representative of all owners of rental cabins in our rental program.
Once your application is received, we will double check the dates for availability and verify your credit card information. If all provided information is valid, a deposit of 25% of the final amount due will be charged to your credit card and your reservation will be secured.
7 days prior to your check-in date, we will charge the remaining balance to your credit card and send you a confirmation email with driving directions to our office and other pertinent check-in information.
You may check in at our office during our regular office hours (M-F: 9am to 5pm, SAT: 9am to 3pm, SUN: closed). After checking in, you may arrive at your cabin any time after 3pm (do not arrive at the cabin before 3pm). If you know you cannot check in during our office hours, please call or email to make other arrangements.
Check-out time is 10AM. You do not need to come to our office for check out. Please be prompt to allow us adequate time to prepare the cabin for the next guests, and return all keys to the lockbox before leaving to avoid additional charges.
Most of our cabins have no minimum stay - it is perfectly acceptable to stay for a single night. For all of our cabins there is a minimum stay of 2 nights on holidays.
There is a $30 administration fee for all cancellations. If you cancel less than 14 days before the check-in date, there will be no refund.
The total amount of the reservation will be charged along with a $30 administration fee for all no-shows.
The nightly fees for our cabins cover up to 4 adults. Additional adult guests are $20 per person, per night. Children age 12 and under stay for free.
Pets are permitted in most of our cabins. There is a pet fee of $10 per night, per pet, and a $150 pet deposit (refunded upon inspection of cabin). Pets must be housed in a crate when you are away from the cabin. As a guest, you are completely responsible and liable for any damage caused by your pet(s).
We ask that you please comply with the following items prior to check-out:
All of our cabins are supplied with bed linens, towels, blankets and pillows. These items are not changed during your stay. We also provide paper products, soaps, detergents, and trash bags for your convenience.
The keys to your rental cabin are located in a lockbox outside the cabin. There will be a $60 charge for any unreturned keys (to cover the cost of replacing the locks).
Many of our cabins feature gaming tables such as billiards or foosball. These tables are provided as a courtesy to enhance your stay, and we ask that you treat them with respect so that other guests may enjoy them as well. Please do not sit, stand, or leave drinks on a gaming table. Please do not move a gaming table, as this will ruin the balance of the table and may cause damage to the slate. If we find that a table has been moved or altered, you will incur a $250.00 fee.
All cabins are privately owned and have different subscription packages for satellite. We cannot guarantee any programs or events.
All cabins are equipped with a telephone. Please make all long distance calls with a calling card. Cellular service is spotty at best in our area. Some cellular providers have signal (AT&T and Verizon), but we recommend bringing a calling card in case you do not have signal at your cabin.
If you are in a cabin with a wood burning stove, fireplace, or firepit, we will provide a 3 day supply of wood (about 60 pieces) for an additional fee of $45. Please keep fires at a safe level to ensure your safety and that of the cabin.
Do not leave a fire unattended and do not burn any other items (charcoal, accelerants, etc.) in wood log fireplaces. You will be assessed a "clean-out fee" of $50 if any items other than wood logs are burned in the fireplace.
If you are in a cabin with a gas-log fireplace – do not burn other items (hot dogs, marshmallows, wood, etc.) in the fireplace. Do not disturb, adjust, move, cook-over or otherwise damage the gas logs in the fireplace box. If you fail to comply with these rules, you will be charged a $250 damage fee.
Please do not discharge fireworks on the grounds of any of our cabins. The discharging of firearms is also strictly prohibited.
Most of our cabins have outdoor grills. Charcoal is not provided for cabins with charcoal grills. Propane is provided for gas grills.
Smoking is not permitted inside any of our cabins. Outside smoking is permitted, but please do not litter. Any smoking inside the property will result in a minimum charge of $250.00. Please do not smoke inside our cabins.
All of our cabins receive regular pest control treatments. Keep in mind, however, that our cabins are located in the woods, so you are likely to encounter various pests, especially at certain times of the year. Winter in North Georgia is ladybug season. We will do everything possible to limit the number of ladybugs in and around the property, but please keep in mind that you may see ladybugs in and outside the cabin, especially at higher elevations. Ladybugs do not bite or sting. Although rare, scorpions may also be present at cabins on ridges. Like bees and wasps, scorpions carry a painful stinger, so please leave any that you find alone (since we spray for pests regularly, they will most likely be dead or dying).
By Georgia Law, no drinking of alcoholic beverages by persons under the legal age of 21 is allowed.
We will accept responsible adults over the age of 21 only. You agree that no more than the number of persons listed on the reservation agreement shall occupy the premises overnight. If the unit is occupied by more than the number of persons stated, additional guest fees will be charged to the credit card provided.
All of our cabins are privately owned, and the furnishings and equipment are provided by the cabin owner. Please do not move the furniture. If you require special appliances or equipment, please bring them with you. Furnishings are subject to change without notice.
Information regarding the individual cabins is believed to be accurate but cannot be guaranteed. We have made every effort to ensure that all the information on our website is current and accurate, but the possibility of errors and omissions still exists. We will be happy to answer any of your questions prior to booking your reservation. Rates, furnishings, fees and taxes are subject to change without notice.
Nightly rates do not include additional guest fees, pet fees, cleaning fees, or taxes. Additional guests fees are $20 per guest, per night. Pets fees are $10 per pet, per night. A cleaning fee is required for all rentals. A 10% tax is also applied to all rentals.
We cannot guarantee against the mechanical failure of heating, air conditioning, hot tubs, TVs, satellite receivers, VCR/DVD players or other appliances. Please report any equipment that is not operating properly. We will make every effort to resolve the problem as quickly as possible.
Mountain roads can be tough at any time of the year. We cannot guarantee any road surface conditions. Most roads in the area are well maintained, however some are curvy and steep. Some cabins have gravel drives. While these roads are routinely maintained, they may be bumpy at times. No changes or refunds will be given for fear of curvy or steep roads. During adverse weather conditions, we strongly recommend that you use a four-wheel drive vehicle.
Refunds or rate adjustments are not made for early departures or delayed arrivals.
We strives to comply with all of your reservation requests, however, due to circumstances beyond our control, changes in ownership, properties being removed from the rental program, mechanical problems, etc. we cannot absolutely guarantee a specific cabin. We reserve the right to change your cabin without notice or liability should the cabin become unavailable. Neither the owner nor NGMCR shall be liable for events beyond their control which may interfere with you visit. This may include but are not limited to Acts of God, acts of Governmental agencies, fire, war, inclement weather and construction noise. We will try to offer a comparable cabin at the same rate satisfactory to you or you can receive a complete refund of your reservation deposit. We will attempt to give you as much notice as possible so other arrangement can be made.
We reserve the right to refuse service to anyone. All rental cabins are leased without regard to race, color, religion, sex, national origin or handicap.
